Brokerexpense is operated by Elate Systems LLC. Brokerexpense helps users find, match, organize, and prepare business expense documentation by connecting to financial accounts, email accounts, and related expense sources.
This Privacy Policy explains what information we collect, how we use it, how we protect it, and the choices users have.
1. Information We Collect
We collect information you provide directly, information we receive from connected accounts, and information generated when you use Brokerexpense.
Account Information
When you create or use a Brokerexpense account, we may collect:
- Name
- Email address
- Company or firm name
- Role or desk information
- Billing or subscription information
- Support communications
Financial Account and Transaction Data
With your permission, Brokerexpense may use Plaid to connect to your financial institution or card account.
Through Plaid, we may receive financial account and transaction information such as:
- Merchant name
- Transaction date
- Transaction amount
- Transaction description
- Account or card metadata
- Transaction category or enrichment data
- Pending or posted transaction status
Brokerexpense uses this information to match card transactions to receipts, identify unmatched or missing expense documentation, and prepare expense exports.
Brokerexpense does not use Plaid data to initiate payments, move money, make lending decisions, provide investment advice, or determine credit eligibility.
Email Account Data
With your permission, Brokerexpense may connect to your Gmail, Outlook, or other supported email account using OAuth.
Brokerexpense uses read-only email access to search for and retrieve business expense-related documents, including:
- Receipts
- Hotel folios
- Airline confirmations
- Rideshare receipts
- Restaurant receipts
- Event, ticket, or client entertainment receipts
- Travel confirmations
- Other expense-related emails or attachments
Brokerexpense does not send, delete, modify, or manage your email. Access is used only to identify and organize expense-related records.
Expense Context and User-Entered Information
You may add information to expenses, including:
- Client or firm
- Desk
- Attendees
- Business purpose
- Notes
- Tags
- Export preferences
This information is used to prepare expense files for your existing reimbursement or finance process.
Usage and Technical Information
We may collect limited technical information, including:
- Log data
- Device and browser type
- IP address
- Session activity
- Error reports
- Security and authentication events
- Product usage activity
We use this information to operate, improve, secure, and troubleshoot Brokerexpense.
2. How We Use Information
Brokerexpense uses collected information to:
- Provide and operate the Brokerexpense service
- Connect to authorized financial and email accounts
- Retrieve and organize receipts
- Match receipts to card transactions
- Identify missing or unmatched expenses
- Allow users to add required expense context
- Generate Excel, CSV, or copy-paste exports
- Provide customer support
- Improve product performance and accuracy
- Monitor security and prevent misuse
- Maintain billing, account, and administrative records
- Comply with legal obligations
We do not sell your personal information.
3. How We Use Plaid Data
Brokerexpense uses Plaid to enable users to connect financial accounts securely.
Plaid data is used only for expense preparation purposes, including:
- Displaying relevant card or account transactions
- Matching transactions to receipts
- Flagging transactions that may be missing receipts
- Helping users prepare expense exports
- Improving transaction-to-receipt matching accuracy
Brokerexpense does not use Plaid data for advertising, resale, credit scoring, lending, insurance underwriting, or unrelated profiling.
Your use of Plaid is also subject to Plaid's own privacy practices.
4. How We Use Email Data
Brokerexpense accesses connected email accounts only with user authorization.
Email data is used to:
- Search for expense-related emails and attachments
- Extract receipt details such as merchant, date, amount, and confirmation information
- Match receipts to card transactions
- Display relevant receipt records inside Brokerexpense
- Prepare exportable expense documentation
Brokerexpense does not read unrelated emails for purposes outside the service, does not send emails on your behalf, and does not modify or delete messages in your inbox.
5. How We Share Information
We may share information only in the following limited circumstances:
Service Providers
We may use trusted vendors to help us operate Brokerexpense, including providers for:
- Cloud hosting
- Database infrastructure
- Authentication
- Email and financial account connectivity
- Analytics
- Customer support
- Billing
- Security monitoring
These providers are authorized to use information only as needed to provide services to us.
User-Directed Exports
When you export expense data, copy rows, or submit information outside Brokerexpense, you control what information is included and where it is sent.
Legal and Safety Requirements
We may disclose information if required to:
- Comply with applicable law, regulation, subpoena, or legal process
- Protect the rights, safety, or property of Elate Systems LLC, Brokerexpense, users, or others
- Investigate fraud, abuse, security incidents, or violations of our terms
Business Transfers
If Elate Systems LLC is involved in a merger, acquisition, financing, reorganization, or sale of assets, user information may be transferred as part of that transaction, subject to appropriate protections.
We do not sell user data or Plaid data.

- Secure cloud infrastructure
- Limited internal access to user data

7. Data Retention
We retain information for as long as reasonably necessary to provide Brokerexpense, comply with legal obligations, resolve disputes, maintain security, and enforce agreements.
Users may request deletion of their account or certain data by contacting us.
Some information may be retained where required for legal, tax, security, backup, fraud prevention, or legitimate business purposes.
8. User Controls and Choices
Users may:
- Connect or disconnect financial accounts
- Revoke Plaid access through Brokerexpense, Plaid Portal, or their financial institution where available
- Connect or disconnect Gmail, Outlook, or other email accounts
- Revoke email access through Google, Microsoft, or the relevant email provider
- Control what information is exported
- Request account deletion
- Contact us about privacy questions
Revoking access may limit or disable some Brokerexpense features.
9. OAuth and Third-Party Account Connections
Brokerexpense uses OAuth or similar authorization methods to connect to supported financial and email services.
We do not ask for or store your bank password, Gmail password, Outlook password, or financial institution password.
Connected services may provide their own controls for reviewing and revoking access.
10. Children's Privacy
Brokerexpense is intended for business users and is not directed to children under 13. We do not knowingly collect personal information from children.
11. International Users
Brokerexpense is operated by Elate Systems LLC in the United States. If you access Brokerexpense from outside the United States, your information may be processed in the United States or other jurisdictions where our service providers operate.
12. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. If we make material changes, we will update the effective date and may provide additional notice where appropriate.
Continued use of Brokerexpense after an update means the revised Privacy Policy applies.
